Terms, privacy, refunds

These policies cover The Standing Letter, a letter writing and mailing service operated by Jonathan Arnold in Lookout Mountain, Georgia. A postal address is available on request by email. Questions about any of this go to hello@thestandingletter.com.
Terms of service
What we do
You submit your own material through our submission form. You can paste in your own social media posts and captions, write the letter yourself, or give us bullet points for us to expand, and you can include photos with any of those. We write what you send into a letter, print it, seal it, and mail it by first class US post to the recipient address you give us. We do not access, scrape or connect to your social media accounts, and we never ask for your account passwords.
Who can subscribe
You must be at least 18 years old and able to enter a contract. Subscriptions are self featured, meaning the person who pays is the person the letters are written about. You must have the right to share the content you submit.
What you submit
You keep ownership of everything you send us. By submitting it you give us permission to edit it, write from it, print it and mail it for the purpose of producing your letters. You agree not to submit:
- content you do not have the right to share
- content about another person who has asked you not to share it
- anything unlawful, threatening, harassing or hateful
- sexually explicit material
We may decline to print anything that falls into those categories and will tell you why.
Billing
The subscription is $20 per month and covers two letters, mailed on the 1st and the 15th. It renews automatically each month on the date you signed up until you cancel. A single letter is $15 and is a one time charge that does not renew. All prices are in US dollars. Payments are processed by Stripe. We never see or store your full card number.
Delivery
Letters are mailed by the United States Postal Service. Delivery time is out of our control. We currently mail to US addresses only. You are responsible for giving us a correct and current mailing address.
Service changes
We may change prices or these terms. If we do, we will email you at least 30 days before the change takes effect on your subscription, and you can cancel before then.
Limits
We provide this service as is. Our total liability for any claim is limited to the amount you paid us in the three months before the claim. Nothing here limits liability that cannot be limited under Georgia or federal law. These terms are governed by the laws of the State of Georgia.
Privacy policy
What we collect
- Your name, email address and billing information
- The recipient's name and mailing address
- The posts, notes, bullet points, written drafts and photos you submit for each letter
- Basic records of the letters we have written and mailed for you
What we do with it
We use it to write, print and mail your letters, to bill you, and to email you about your account. That is all. We do not sell your information, we do not rent it, and we do not use your submitted posts to advertise to anyone.
Who else sees it
- Stripe handles payments and receives your billing information. We never receive your full card number.
- Our print and mail provider receives the finished letter and the recipient's mailing address in order to print and post it.
- Google Workspace hosts our email and form submissions.
We share information with law enforcement only when required by law.
How long we keep it
We keep submitted content and finished letters for 12 months so we can reprint a lost letter or keep your letters consistent over time. Billing records are kept as long as tax law requires.
Your choices
Email hello@thestandingletter.com and we will send you a copy of what we hold about you, correct it, or delete it. We will respond within 30 days. Deleting your content may mean we cannot produce further letters.
Children
This service is not for anyone under 18 and we do not knowingly collect information from children.
Refunds and cancellation
Cancelling a subscription
Email hello@thestandingletter.com and say you want to cancel. We will confirm by email within one business day. Cancellation takes effect at the end of the billing month you have already paid for, so you still receive the letters that month has coming. After that you are not charged again.
Refunds
- Before a letter is written. Ask within 7 days of a charge and before we have started writing that month's letter, and we refund it in full.
- Our mistake. If a letter is printed wrong, damaged, or mailed to the wrong address because of an error on our end, we reprint and remail it at no cost, or refund that letter, whichever you prefer.
- Lost in the mail. If a letter has not arrived 14 days after it was mailed, tell us and we will reprint and remail it once at no charge.
- Already written and mailed. Letters are written and printed for one person and cannot be resold, so a letter that has been mailed as ordered is not refundable. Nothing returns to us and there is nothing to return.
Approved refunds go back to the original payment method through Stripe and usually appear within 5 to 10 business days.
Disputes
If something has gone wrong, email us before opening a card dispute. We would rather fix it directly, and almost everything is fixable with a reprint. If you do open a dispute, we will respond with our records of the order and the mailing.
